Cornwall Heritage Trust (CHT) is a charity with the objective of preserving and strengthening Cornwall’s unique heritage. Based at Krowji in Redruth, CHT owns or manages 11 historic sites throughout Cornwall as well as offering grants schemes and running education projects.
CHT has recently undertaken a project aimed at identifying ways to ensure our future sustainability and we have subsequently introduced a Business Development Plan for the next four years which will be both challenging and exciting; this will be an exciting opportunity to be a part of that process. We are looking for someone who will hit the ground running and fit seamlessly into our team. They will need to have excellent administrative skills and be flexible and adaptable to meet the challenges of working in a small and busy team.
Based at the CHT offices at Krowji this is a part-time role that requires a daily presence, preferably every morning. There will also be occasions where weekend and evening work may be required and you will need to be able to work flexibly to accommodate this. This contract is offered on a six-month fixed term basis in the first instance due to ongoing restructuring of the organisation.
CHT is a charity led by volunteer Trustees and the staff team are all part-time. It is therefore essential that you are reliable and willing to get stuck-in! The main responsibilities are listed below, however these are subject to change as the needs of the Trust evolve.
Key Responsibilities
General Administration
- First point of contact with the general public by telephone, email and via queries from the website
- Management of incoming and outgoing correspondence (postal and electronic)
- Inbox management and dissemination
- Maintenance and updating of the filing systems, including those held electronically
- Organisation of meetings, to include compilation and sharing of papers and booking of meeting rooms
- Minute taking of meetings
- Maintenance of the CRM database to ensure details of volunteers and mailing list recipients are recorded accurately and in a timely manner
- Coordinating diaries of staff & trustees
- Circulating documents before/after meetings
- Booking meeting accommodation and organising appropriate equipment (projectors, flipcharts etc.)
Events
- Support the Events Officer and the wider team to plan, organise and run events and activities online and in-person
- Liaise with external partners to arrange venues and services
- Assist with the creation of a rolling calendar of events and activities
Finance
- Support the Finance Officer as required, this will involve financial and accounting administration using Quickbooks Online
- Maintain and update the Membership database (eTapestry), update membership payments and process renewals and new memberships
- Process incoming applications for grants and bursaries, ensuring that the necessary record-keeping and correspondence is undertaken
Other
- Attendance at events and functions to represent the Trust
- Assist with the preparation of the Annual Review and newsletters
- Support the wider team to achieve their strategic aims
Key Accountabilities
- Reporting to the CEO
- Working closely with the Events Officer and Finance Officer
- Working, as necessary, with the other members of staff and volunteers
